Prepare Reports and Correspondence in PDF format


Up to now users of Event Manager have been restricted to output supported by Microsoft:  plain text, rich text, HTML and Snapshot. Each of these has its strengths, but only Snapshot preserves the exact formatting of your original documents, and it has other disadvantages.

Now there is a way to use one of the most powerful, familiar and accepted formats for your reports and correspondence--Adobe PDF. This feature will be standard in Summit Event Manager Version 11, to be released in late 2005, but because so many people have asked for it as soon as possible, it has been incorporated as an overlay that can be used with Version 9.
 

What exactly does the PDF Email Overlay do?

1. Email correspondence (confirmation letters, tax invoices etc.) in PDF format.
This can be done when emailing correspondence in bulk from the main Correspondence screen or individually from the Personal Details Correspondence screen. You also have a choice between PDF Email Correspondence in Times New Roman or Arial font. If you choose the Arial font version, this will only affect emailed PDF correspondence, not print or fax versions.

2. Convert any reports or letters into a PDF file by printing to the Win2PDF printer.

Win2PDF is a program that allows you to create PDF versions of any Summit reports and letters, as well as any other documents from other applications. Please note, Win2PDF does not provide any mechanism for viewing PDF files. This still requires Adobe Acrobat or the free Acrobat Reader.

I have Adobe Acrobat. Can I use that instead of Win2PDF?

Unfortunately not. Adobe Acrobat will prompt you for a file name for every report or letter that is converted to PDF format. This is obviously impractical for a bulk email run of, say, 300 confirmation letters.

How much does the PDF E-mail Overlay cost?

$330. It is shipped on a CD.

The ability to send email in PDF format is a feature that is planned for the version 11 upgrade of Summit Event Manager - Pro. However, because of the number of requests for this feature, it has been rushed ahead in a form that can be used with version 9.

If you purchase the PDF Email Overlay and later upgrade to Version 11, you will receive credit for the full price of the overlay.

Where do I get a copy of Win2PDF?

The Win2PDF installation program will be available on the PDF E-mail Overlay CD. You can also download a copy from our website or the Dane Prairie Systems website.

Do I have to purchase a license for Win2PDF?

That is up to you.

The installation program installs an evaluation version of Win2PDF which will occasionally display a reminder dialogue with registration information and also add an extra page to each converted report/letter which will contain Win2PDF advertising.

How much does Win2PDF cost?

The price varies from US$10 to US$35 per user depending on the number of licenses that you purchase. A full pricing matrix is available on the Dane Prairie Systems website (see link above).
